BOOKING TERMS AND CONDITIONS

Confirmation of Booking, and Payments

  1. The hirer must return the completed application form to the Claremont Stadium office in person or by email.
     

  2. The Management will consider the application and revert to the Client in writing either confirming or declining the request and confirming any conditions attached to the booking. Where the request is declined the client will be given the reasons for such.
     

  3. A booking will be considered provisional until the offer has been confirmed in writing by the management.
     

  4. If payment is by cheque, cheques should be made payable to the CSG Sports Club.
     

  5. At present, credit card payments are not accepted.
     

  6. Receipts will be issued in all cases. Hirers should ensure that a receipt is obtained for each payment.
     

  7. Unless otherwise agreed in writing, telephone calls, photocopying and other business services are not included in the venue hire and will be itemised on your invoice separately.


Charges

  1. Venue hire and all other charges are reviewed in June of each year.
     

  2. Hirer shall pay the rates applicable on the day of the event. Claremont Stadium reserve the right to alter details shown in literature without notice.
     

  3. Cancellation of the room/hall must be given no later than 24 hours prior to booking. Any cancellation under this time will be charged the full amount of room/hall hire.
     

  4. Charges for room hire will be subject to review once a year or sooner at the discretion of the Board of Management.  Any changes will be notified in writing.
     

  5. Additional charges will be incurred for any serious time run over. 
     

  6. Should an event be booked for a time that is outside of normal opening hours, additional charges will apply to cover staffing costs. These payments must be made on the day of the event.
     

  7. Unless otherwise agreed, telephone calls, photocopying and other business services are not included in the venue hire and will be itemised on an invoice separately.
     

  8. To secure the booking, a non-refundable deposit must be paid. This deposit will be proportional to the total cost of the booking.

General

  1. Rooms will only be available to use from the time they are booked. If hirers arrive before this time, access to the room/hall may not be available. When booking, please allow time before the event/session is due to start, and for overruns. The event/session must end and the room/hall be cleared no later than the finish time as stated on the booking form. Please note that the booking times are normally between 9 a.m. and 10p.m.
     

  2. The hirer is only permitted to use the room booked.
     

  3. Should any additional space be required, prior approval must be sought and additional charges will apply. Booking internal space does not entitle the hirer or their guests to use the outdoor facilities such as the track and / or pitch.
     

  4. Should the event/session continue after the agreed finish time, the Centre shall make every endeavour to accommodate all parties. However, should the Centre request the hirer to vacate the premises, for example, in the event of requiring the room for a subsequent hirer, the hirer and their group must immediately vacate the room.
     

  5. It is the hirer’s responsibility to ensure the maximum notified capacity of each room is not exceeded at any time.  The hirer will be notified of the maximum capacity of the room booked during the initial booking process. Exceeding the maximum occupancy of the room booked may result in the event being cancelled immediately. The hirer is responsible for all their guests while they are on the premises. 
     

  6. The hirer must inform the staff of anyone entering the function area that is not their guest.
     

  7. Any accidents/Incidents or damage occurring within the premises must be immediately reported to the Centre staff. The hirer is responsible for any damage caused by the hirer or any of their guests. Additional charges will apply for any damage occurring to Claremont Stadium property.
     

  8. The Hirer is responsible for leaving the facilities, including play areas, changing rooms  and toilets in a reasonably clean state. If the Facility is left in a state that requires extensive cleaning, the Hirer will be liable to pay any additional cleaning fee. 
     

  9. You shall not sub-licence or share occupation of the room/hall without prior consent.
     

  10.  You shall not use any public area of the premises to register guests or display any signs or notices without prior written approval from Management.
     

  11. The use of the Centre does not carry any endorsement by the Board of Management and none shall be claimed or implied by you in any way whatsoever.
     

  12.  Users are advised not to do any promotion or advertising until they have received written confirmation of their booking from Claremont Stadium. You shall not make use of the Centre logo in anyway whatsoever, except with the prior written approval of the Board of Management.
     

  13. There is strictly no smoking in the Centre building or the grounds. Those found to be smoking within the boundary of the premises will be asked to leave immediately.
     

  14. Any person in charge of a group must turn up, and sign in, before the start time.  All Hirers should ensure that they keep an attendance list of all individuals participating in their activity and this should be made available to the staff in charge in the event of an emergency/fire evacuation.
     

  15.  Children cannot be left unattended at the Centre. Should a child be attending an organised class/training session, it is the responsibility of the hirer to ensure that all children are supervised and returned safely to their parent/guardian following the activity. Children attending private functions must be supervised at all times.
     

  16. It is understood that no group or person has exclusive rights to the facilities required unless previously agreed.
     

  17. The Board reserve the right to withdraw or refuse to hire rooms should they have reasonable cause to do so. Management reserve the right to refuse entry.
     

  18. The Board reserves the right to cancel bookings in the event of a clash of fixtures or other unforeseen circumstances.   Every effort will be made to ensure that reasonable notice is provided should this occur.

Equipment

  1. Please notify staff of your equipment needs when making an application. This includes requests for tables, chairs, extensions leads, etc. It may not be possible to fulfil additional requests on the day of the event due to other bookings taking place in the centre.
     

  2. Rooms/Hall must be cleared of any equipment or other items which are not the property of the Centre, after each session of use, unless special arrangements are made with management. The management accepts no responsibility for the security and insurance of any items left unattended in the Centre.
     

  3. If you need to make storage arrangements, please state your needs on your application form or in writing to the management committee. Additional charges may apply for the storage of any equipment.

Catering

  1. If tea, coffee and biscuits are required, this must be stated on the booking form. A charge of €1.50 per person will apply.
     

  2. Should the hirer provide snacks/food or other beverages for their client group, it is their responsibility to ensure food safety and hygiene standards are in accordance with legislation.  Claremont Stadium accepts no responsibility for breach of food hygiene legislation by an individual or group.
     

  3. The sale and/or consumption of alcohol is strictly prohibited on the premises, and failure to comply can result in a fine of €3,000.
     

  4. Food or drink is not permitted on or near the pitch & track surface with the exception of water.
     

  5. Access to the kitchen and canteen area is strictly prohibited unless otherwise agreed. Should approval be granted, children are not permitted to enter and access to the area must be limited to one person per group.
     

  6. Should the hirer require the provision of hot water or the use of a Burco Boiler or kettle, staff must be notified during the booking process. Claremont Stadium accepts no responsibility for any accidents/injuries that occur. Children are not permitted to use this equipment.
     

  7. Claremont Stadium does not supply any glassware, kitchenware (cups, plates, bowls) or utensils (knives, forks, etc.) If the hirer has requested tea and coffee, then disposable cups will be provided.


Health And Safety

  1. The hirer and their group shall always comply with the Centre’s Health and Safety requirements and follow any specific related instructions, which may be given by Centre staff at any time. 
     

  2. The hirer and their group shall always comply with the Centre’s Fire, Emergency and Health and safety regulations for all procedures and fire safety regulations within Claremont Stadium. Fire instructions are displayed throughout the premises. It is the responsibility of the hirer to ensure that they and their group are familiar with them.
     

  3. Fire exits and routes must not be obstructed.
     

  4. CCTV is widely used throughout the building.

    1. CCTV surveillance at Claremont Stadium is intended for the purposes of:

    2. Overt Monitoring; Surveillance is performed using devices that are visible and obvious and which are notified by easily-read and well-lit signs in prominent positions. The locations of all cameras are listed in the Claremont Stadium / CSG Sports Club CLG CCTV Schedule.

    3. Deterring, detecting and defending against criminal, malicious and anti-social behaviour on property and persons;

    4. Protecting buildings and assets;

    5. Promoting the safety and security of staff, contractors, visitors and service users by helping to secure a safer environment;

    6. Investigating accidents or dangerous occurrences;

    7. Supporting An Garda Síochána in deterring and detecting crime;

    8. Assisting in identifying, apprehending and prosecuting offenders;

    9. Identifying the occurrence of anti-social activity that may give rise to disciplinary proceedings.
       

  5. No animals, unless service dogs are permitted on site for Health & Safety reasons.

Behaviour/Conduct

All visitors to Claremont Stadium should conduct themselves in a fashion in keeping with the nature of the Stadium. Management expects all visitors and guests to behave in a respectful and appropriate manner. CSG Sports Club undertakes with its visitors and guests that it will take a proactive approach to seek to prevent such behaviour by improving the effective management of our building and where it occurs, the organisation will, if necessary, use all means available to it in addressing such behaviour.

 

Examples of such behaviour includes but is not limited to the following:

  • Anti-Social Behaviour

  • Drug use, sale, manufacture, supply or possession

  • Violence

  • Racism

  • Damage to property

  • Threats or Intimidation

  • Noise

  • Nuisance behaviour

Violence, Threats, Intimidation:

Violence, threats, intimidation, coercion, harassment or serious obstruction of any person, either resident, neighbour or member of the general public will not be accepted within Claremont Stadium and it’s vicinity.

CSG Sports Club will not tolerate any assaults, threats, intimidation, obstruction, harassment or interference with its employees who are involved in the implementation of this policy.

Racism:

Claremont Stadium has a multi-cultural and diverse group of visitors and guests; Racism is not acceptable and will not be tolerated.

CSG Sports Club is committed to accepting and promoting diversity and making anti-racism central to all policies and procedures of the organisation. If it is suspected that any visitor or guest engages in the above acts, they will be asked to leave the premises and it’s vicinity immediately and An Garda Siochana may be notified.

Noise:

Unreasonable noise within Claremont Stadium or its immediate vicinity is not accepted.

If the noise by guests or visitors is significant and persistent and occurs regularly, causing a disturbance to those attending or using the facilities in Claremont Stadium or the other residents within the local community, Management may investigate the matter as it may constitute a breach of this agreement and may result in the immediate termination of an event.

 

Nuisance Behaviour:

For the purpose of this document, the phrase “nuisance, annoyance or disturbance” is any behaviour which interferes with the peace and comfort of other visitors or guests, employees, neighbours, contractors or any other members of the general public living or working in the vicinity of Claremont Stadium and is conduct which is capable of causing offence, danger, injury, damage, loss or fear and which directly or indirectly relates to the management functions and, without prejudice to the foregoing, includes but is not limited to:

  • Harassment

  • Offensive drunkenness

  • Graffiti

  • Playing or allowing to be played, loud or offensive music,

  • Making unnecessary or excessive noise

  • Engaging in acts of prostitution

  • The keeping or sale of firearms

All visitors and guests of Claremont Stadium must not do anything,  cause or commit or allow any member of their party or any person visiting them to cause or commit any form of behaviour, likely to cause nuisance, annoyance or disturbance to any other visitor, neighbours, staff of CSG Sports Club, contractors of any other member of the general public living or working in the vicinity of Claremont Stadium or any other who may find themselves lawfully within the vicinity of the premises.

Drug Use, Manufacture, Sale or Possession:

CSG Sports Club will adopt a very strict policy in relation to visitors and guests involved in the manufacture, production, importation, exportation, sale, supply, possession for the sale, supply or distribution of any controlled drugs, including psychoactive substances within the meaning of the Criminal Justice (Psychoactive Substances) Act, 2010. Management operates a zero-tolerance policy relating to any incidents of drug dealing involving guests or visitors in the building or in the immediate vicinity. If it is suspected that any visitor or guest engages in the above acts, they will be asked to leave the premises and it’s vicinity immediately and An Garda Siochana may be notified.

Indemnity and Insurance

  1. Claremont Stadium requires all commercial, community and voluntary group hirers to have their own insurance cover with a minimum of €6.5 million public liability insurance. A copy of this policy must be submitted with the signed application form. Claremont Stadium and CSG Sports Club CLG must be indemnified from any claims, demands, actions or suits arising out of or in connection with this rental.
     

  2. While the Centre may store equipment or other items (if requested and agreed), the Centre takes no responsibility for loss or damage of any equipment or items stored.  Care should be taken of personal property
     

  3. Claremont Stadium will not accept responsibility whatsoever for the use of third-party vendors and their equipment or the use of it by the hirer and their group e.g. Bouncy Castles, Slides, Catering, DJ or food provided by the hirer.

  4. Car parking is at owner’s risk. Charges may apply. Claremont Stadium accept no responsibility for damage caused to vehicles availing of the car parking facilities.

Complaints and Claims

  1. If you have a complaint prior to or during your use of the building, you shall notify Management/staff immediately.
     

  2. All other complaints must be notified in writing to the management within 48hrs of the event.
